Step 4: Print Forms W-2 PR

  1. From the Main Menu select W-2 PR. The W-2 PR window appears.
  2. On step four click W-2-PR. The Print Forms W-2PR window appears.

  1. Select a Company from the list.
  2. Select an employee form the list or perform a search by his Control Number or SS.
  3. Click the Sort by drop-down menu to select the printing order. Sort by last name, social security number, employee number, location and last name, location and social security number, or by location and employee number.
  4. Select the Print inactive employees... checkbox to print Forms W-2PR of employees no longer working in the company at the end of the batch.
  5. Click the Print button of the page that you want to print.

Two hundred and fifty (250) Forms or more must be submitted electronically unless the IRS granted you a waiver. However, you are encouraged to file electronically even if you are filing fewer than 250 Forms W-2PR.

Forms W-2 must be submitted on digital file through the Colecturía Virtual.

 

 

Copy B

 

Employee copy for tax return

If employees give their consent, the employer may be able to furnish the Copy B electronically. See Pub. 15-A Employer's Supplemental Tax Guide for additional information. The employer may not send a Form W-2 electronically to any employee who does not consent or who has revoked consent previously provided.

 

Copy C

 

Employee copy for records

If employees give their consent, the employer may be able to furnish the Copy C electronically. See Pub. 15-A Employer's Supplemental Tax Guide for additional information. The employer may not send a Form W-2 electronically to any employee who does not consent or who has revoked consent previously provided.

Copy D

Employer copy

Employers must keep Copy D with their records for 4 years.

 

  1. If you will file Forms W-2PR electronically, continue on the Creating and Sending the Digital Files section.
  2. If you will not create the digital file and finished printing Forms W-2, click Complete to indicate that the Forms W-2PR creation process for the selected company is complete.

Completed Forms will have a check mark on the This W-2 PR has been printed checkbox in Step 2 (Preview) window. This ensures that if you add employees, you will not duplicate any Forms W-2PR.

  1. Continue on Step 6: Print Forms 499 R-3 and W-3 PR.
