Preparing Form 941-PR Social Security

Complete the 941-PR screen to report Social Security and Medicare amounts withheld from each employee.

  1. From the Main Menu select Quarterly Reports.  The Select Quarterly Report window appears.
  2. Click 941 Social Security. The 941-PR Quarterly Report appears showing information already entered in the Data Entry section.

 

  1. Click the red arrow button to select the company. If necessary, click the red arrow button again to collapse the list.
  2. In the Quarter field, select the quarter (1-4) you are filing for.
  3. The of field displays the year for which you are filing.
  4. Select the Final Report? checkbox if this is the last report for this company.
  5. If this is the company's final report, enter the last date the company paid salaries in the Final Deposit field.
  6. Select the Seasonal checkbox if the company hires employees for a specific period only.
  7. Select the Address Change? checkbox if the company's address has changed since the last time this report was filed.
  8. If necessary, edit the Number of employees in the pay period for the quarter.
  9. On the Depositing field, click the drop-down menu to select the frequency of deposits.
  10. Click the In PR? checkbox to indicate that you made the deposits in Puerto Rico.

The field numbers below (4, 5a, 5b, etc.) correspond to the rows on the original 941-PR Form.

  1. Click the field 4 checkbox if applicable.
  2. Click the Calculate button at the bottom of the screen to automatically calculate this report.
  3. Remove the Autocalc checkbox to change any incorrect figures by entering new values in the appropriate fields.
  4. In field 5a 5e, edit the taxable Social Security and Medicare wages and tips, if applicable.
  5. In field 7, edit the adjustments for Fractions of cents.
  6. In field 8, edit the adjustments for sick pay.
  7. In field 9, edit the adjustments for tips, and other, if applicable.
  8. In field 10edit the Adjusted total of Social Security and Medicare taxes, if applicable.
  9. In field 11, edit the Total deposits for quarter, including overpayment from a prior quarter, if applicable.
  10. In field 12a edit the Assistance payments for COBRA premiums.
  11. In field 12b edit the No. Employees if necessary.
  12. Edit the Balance due, if necessary.
  13. In field 15, edit the overpayment amount. Then select the Apply to next return checkbox or the Reimburse checkbox.
  14. The bottom section of this screen has a summary of the activity of each month in the quarter. You can change the value for First month liability, Second month liability, Third month liability, and Total liability for quarter.

If wages total $2,500 or more, make sure line 10 and Total liability for quarter have the same amount. Otherwise, an error message is displayed and the system will not let you proceed.

  1. Click the Do not print preparer information... checkbox if you don't wish for the preparer information to appear on the report.

If you edited any field on this screen, remember to revise the amounts on each total field.

  1. Click the link Pay through EFTPS to make your payment online.
  2. Click the e-file button to submit this return electronically to the IRS. Click here to learn how.
  3. Or click Print to print the report or Preview to see it on screen.
  4. Click Close to exit this screen. PRPay keeps the data entered for the selected quarter.

If you change data in other sections of PRPay that affects this report (e.g. Payrolls, Companies, etc.), remember to recalculate the 941-PR after making those changes.
