Setting up Quarterly Information

Use the Quarterly tab of the Companies window to enter basic company information required for the calculation and printing of the quarterly reports for Hacienda, the Department of Labor, and the Social Security Administration. Complete all fields in this tab for PRPay to calculate and print reports correctly.

This information will be used in several areas of PRPay.  

 

 

 

  1. To access the Companies window, click Companies on the Data Entry menu.
  2. Click the Quarterly tab at the bottom of the window.

The Quarterly tab displays four sections:

499 R-1B (Hacienda Withholding)

Reports income tax amounts withheld from each employee.

  1. Click the down arrow to select a Company Type.
  2. Click the down arrow to select an Agency.
  3. Type the Industrial Code.
  4. Click the down arrow to select the Frequency of Deposits.

941-PR

Reports Social Security and Medicare amounts withheld from each employee.

  1. Click the Address has changed checkbox if the company's address has changed since the last filing.
  2. Select the Seasonal checkbox if this address change was for a determined period only.
  3. Select the Company is not obligated to file the 941-PR in the future if the company ceases doing business.
  4. Type the date of the final deposit in the Final deposit made field if the company ceased doing business.
  5. Click the down arrow to select the Frequency of Deposits.
  6. Click the box if you filed form 8655.
  7. Click the Link to Form 8655 to open the form directly from the IRS website. (Requires Internet connection.)

This form is required when you are a reporting agent. Fill it out for each company you are e-filing the 941-PR form. It is only required once.

Local Unemployment and Disability

Reports the amounts withheld from the employee for disability and the amounts the employer should pay for unemployment insurance.

If the company is an agricultural company, enter the following information in the right-hand column and leave the fields on the left side blank. Otherwise, enter the data on the left-hand column.

  1. In the Account No. field type the account number assigned to you by the Labor Department in their annual letter to all registered employers.
  2. Type the local unemployment percentage in the Local Unemployment % field.
  3. Type the local disability percentage in the Local Disability % field.
  4. Type the special assessment percentage in the Special Assessment % field.
  5. Select the Private Disability Plan checkbox if the company has a private disability plan.
  6. Type the policy number in the Disability Insurance Policy # field.

Local Chauffeur's Insurance

  1. If the company has employees that pay chauffeur’s tax (choferil), type the chauffeur account number in the Chauffeur Account No. field. This number is assigned by the Labor Department.
  2. If the company has employees that pay chauffeur’s tax (choferil), type the chauffeur reference number in the Chauffeur Reference No. field. This number is assigned by the Labor Department.
  3. Click the Save button to save the changes.
  4. Click the Annual tab to enter annual information.
